Preparing a vehicle for transport is mostly about reducing uncertainty. The provider needs to know whether the vehicle can start, roll, steer, and brake, and you need a clear record of its condition before it leaves.
Before pickup
Confirm the pickup window, address, contact person, and expected delivery process. Ask where the vehicle will be inspected and whether the truck needs a large, unobstructed area for loading.
Clean the outside of the vehicle so existing scratches, dents, and chips are easy to see. Take dated photographs from all sides, including close-ups of existing damage. Photograph the odometer and any warning lights on the dashboard.
Remove personal belongings
Remove valuables, loose items, documents, electronics, and anything that could move inside the cabin or trunk. Personal property may be excluded by the provider’s written terms or applicable coverage; check the agreement before leaving anything inside.
Check the glove compartment, centre console, door pockets, spare-tire area, and under-seat storage. Keep only items specifically allowed by the written transport agreement.
Mechanical preparation
Make sure the vehicle can start, roll, steer, and brake unless special handling has been arranged. Check tire pressure and fluid leaks. Ask the provider for its fuel-level instructions before pickup and follow the written agreement.
Disable or explain alarms and provide the keys required for loading, moving, and unloading. Confirm in writing which keys the provider will keep, and retain a spare when possible.
Documents and delivery
Keep your vehicle documents, your own insurance information, the transport agreement, the condition report, and provider contact details accessible. Confirm exact document requirements with the provider, and do not leave original personal documents in the vehicle unless the agreement specifically requires it.
At delivery, inspect the vehicle before signing the delivery paperwork. Compare it with the pickup report and your photographs. If something has changed, record the details and follow the written claims process promptly. The insurance and damage guide explains the records worth keeping.
