Insurance and damage questions are easier to handle before pickup than after delivery. This guide cannot tell you what any provider covers, but it can help you identify what to ask for in writing and what to document at each handoff.
Before booking: ask what the agreement says
Ask the provider to explain the coverage, exclusions, deductible, claims process, and payment terms that apply to the service being offered. Confirm who is responsible for the vehicle at each stage if a broker, carrier, storage location, or meeting point is involved.
Do not rely on a short verbal summary of coverage. Read the written transport agreement and ask about any wording you do not understand. Your own vehicle insurance may have separate terms, so check those directly with your insurer rather than assuming they apply.
Make the condition report useful
At pickup, inspect the vehicle with the provider and make sure the report records visible marks, damage, mileage, and operating issues that could affect loading. Take dated photographs from several angles and close-ups of existing damage. Keep a copy of the report, the agreement, and the provider’s contact details.
A condition report is a record of what was observed at a handoff. It is not a guarantee that a claim will be accepted or that every issue will be covered.
At delivery: inspect before signing
Inspect the vehicle in good light before signing delivery paperwork. Compare the vehicle with the pickup report and your photographs. If you see a possible new issue, document it, ask how it should be recorded, and follow the written claims procedure promptly.
If the delivery happens at a depot or meeting point, confirm who is completing the inspection and what paperwork is required before you leave.
Questions worth keeping with your records
- What coverage and exclusions apply to this shipment?
- Is there a deductible, limit, or claims deadline?
- Who should be contacted if damage is noticed?
- What condition report will be completed at pickup and delivery?
- What documents, photographs, or notices does the provider require?
- Does the agreement say anything about personal belongings or mechanical issues?
Keep the agreement and records together
No general guide can decide an individual coverage or claim outcome. Keep the written agreement, condition reports, photographs, and provider communications together, and follow the provider’s current written instructions for the shipment.
